Office Manager/Bookkeeper
Overview of Institution:
The Cape Cod Museum of Natural History/Thornton W. Burgess Green Briar Nature Center & Jam Kitchen (MUSEUM) is a private non-profit MUSEUM located on 2 campuses, one in Brewster and the other in Sandwich, Barnstable County, Massachusetts (Cape Cod). The MUSEUM provides exhibits, aquarium, and educational programs for children and adults within the MUSEUM and the surrounding ecosystems.
Position Summary:
The Cape Cod Museum of Natural History seeks a full-time office manager/bookkeeper to support staff in day-to-day operations and work with accounting consultants to build strong financial systems and reporting structures for the organization. The Office Manager/Bookkeeper handles the daily posting of financial transactions in Quickbooks, prepares financial reports, reconciles bank statements and bookkeeping ledgers, and ensures records are accurate and taxes and bills are paid. They are also responsible for payroll and benefits, building-related tasks such as maintenance and supplies, and general administrative support.
Key Responsibilities:
- Handle incoming mail, distribute to appropriate departments.
- Process incoming checks and bills, assimilate deposits for banks, and match deposit receipts for Accounting Consultants
- Scan signed bills, deposit tickets with receipts, provide copies of handwritten checks to Accounting Consultant and file scanned bills in vendor files
- Respond to requests for financial information in collaboration with accounting consultants
- Track restricted funds & grant requirements in collaboration with Development Consultant
- Implement day-to-day accounting tasks, with functional responsibility for keeping accounts up to date in collaboration with accounting consultants, managing accounts payable, and income reporting
- Administer payroll, complete payroll form, check proof, file timesheets, transfer information to payroll administrator and partner with payroll company to deliver payments
- Answer employee questions and track employee paperwork
- Assist the President/Executive Director and staff with administrative tasks such as maintaining calendars, scheduling meetings, and taking notes
- Provide logistical support for onsite meetings and events, assist with setups for videoconferences and Board meetings
- Help maintain and update office and board policies and procedures
- Direct phone calls and email inquiries to correct department, respond to general email inquiries
- Other duties as assigned by the President/Executive Director
Qualifications and Experience:
- Strong problem-solving skills and proven ability to organize and manage multiple priorities
- Bachelor’s degree
- Good communications skills, both written and verbal
- Experience collaborating effectively with others, both internally and externally
- Good time management skills, ability to perform multiple tasks and meet critical deadlines while maintaining accuracy and quality
- Proven ability to make complex and time-sensitive decisions in the best interests of the organization
- Three years of prior bookkeeping experience
- Proficiency with QuickBooks or other accounting software
- Proficiency in the use of spreadsheets, word processing, and databases
- Familiarity with museum or non-profit business procedures a plus.
Compensation and Benefits:
This is a full-time position. The anticipated salary range for the position is $55,000 to $65,000 depending on experience plus benefits.

KidSummer Lead Teachers
Lead teachers are responsible for daily lesson plans, safety, and behavior management. Previous experience with children is a plus.

KidSummer Assistants
Applicants must be at least 16 years old OR have completed the Junior Naturalist program and be available for an in-person interview. Interests in nature, science, art, and working with children ages 4-15 is a must!
Assistants are responsible for supporting the lead teacher with the activities and being another pair of eyes, to provide the students with safe, fun, learning experiences.

Admissions
The Museum is looking for a flexible individual to work at Admissions. This person should be well-organized and friendly with customer service experience.
Familiarity with iPad technology a plus. Cashier and Customer Service experience a plus.
Training included.
- Hours: Revolving Schedule Monday-Saturday 10am - 3pm
- Pay Rate: $18/hour

Butterfly House Desk Attendant
